Quick overview

Everything Riva understands, with examples you can try right away.

Record a sale
Tell Riva about a new customer order. Just describe what happened naturally — whether items are in stock or being preordered.
What you can do
  • Sell items in stock
  • Record a preorder
  • Sell multiple items at once
  • Set unit price or total
What to include

Examples

Kofi wants 5 pairs of shoes at GH₵120 each
Customer Kofi Product shoes Qty 5 Unit price GH₵120
Ama preordered 2 dresses for GH₵400
Customer Ama Product dresses Qty 2 Total GH₵400 Type preorder
By default, Riva treats orders as readily available (items in stock). Use words like "preordered" or "preorder" to mark items that aren’t ready yet. Give the price per item or the total — Riva calculates the other. Skip the quantity and Riva assumes 1.
Update an order
Modify an existing order — add items, change quantities, or cancel.
What you can do
  • Add new items
  • Change quantities
  • Update prices
  • Cancel an order
What to include
Customer
Required
Whose order to update
Product

Examples
Add 2 scarves to Ama’s order
Action add item Customer Ama Product scarves Qty 2
Change Ama’s handbags to 5 instead
Action update quantity Customer Ama Product handbags Qty 5
Cancel Kofi’s order
Action cancel Customer Kofi
Always mention the customer name so Riva finds the right order. If a customer has multiple open orders, Riva will ask you to clarify which one.
Record a payment
Tell Riva when a customer pays. It links the payment to the right order automatically.
What you can do
  • Record a full or partial payment
  • Record a refund
  • Specify payment method
What to include
Customer
Required
Who paid
Amount
Required
How much
Method
Optional
MoMo, cash, bank
Examples
Ama paid GH₵200 by MoMo
Customer Ama Amount GH₵200 Method MoMo
Received GH₵300 cash from Kofi for his last order
Customer Kofi Amount GH₵300 Method Cash
Mention the payment method (MoMo, cash, bank transfer) so Riva tracks it accurately. If you skip it, Riva will ask. Partial payments are fine — Riva keeps a running balance.
Log an expense
Record business spending so you can track where your money goes.
What you can do
  • Log a new expense
  • Update an expense
  • Delete an expense
What to include
Amount
Required
How much you spent
Description
Required
What it was for
Examples
Spent GH₵80 on packaging materials
Amount GH₵80 Description packaging materials
Paid GH₵150 for delivery fuel
Amount GH₵150 Description delivery fuel
Be specific about what the expense was for — it helps when you review your spending later. Instead of "spent 80", say "spent GH₵80 on packaging".
Ask a question
Ask Riva about your business and get answers from your own data.
What you can do
  • Customer balances
  • Order details and status
  • Daily or weekly sales
  • Revenue and outstanding totals
  • Payment history

Name the customer or time period for specific answers. The more precise your question, the more useful the answer. "How much does Ama owe?" beats "any balances?".

  • Mark order as ready
  • Mark as dispatched
  • Mark as delivered
  • Cancel a delivery
